Lead Information Notice
How we handle information you provide when you submit an enquiry or interact with the demo.
1. Who We Are

2. Purpose of This Notice
This notice explains how we collect, store, process, and retain information you provide when you submit an enquiry through our contact form, interact with our demo, provide information through a chatbot or messaging channel, or request information about our services. It applies to LeadWise AI's own lead capture. It does not apply to leads processed on behalf of a paying client. It is intended to be read alongside our Privacy Policy and Terms of Service.
3. What Information We Collect
Identifying information: name, surname. Contact information: email address, phone number, company name. Enquiry information: your answers to qualification questions, enquiry type, message content. Technical information: IP address, browser type, device type, timestamp. Consent records: whether you agreed to be contacted, and when. We do not collect special personal information through these channels.
4. Why We Collect It
To understand your requirements, assess whether our services are suitable, respond to your enquiry, follow up in future — only if you have consented — improve our demo and qualification flows using anonymised or aggregated data, and comply with legal obligations. We do not sell your information.
5. Lawful Basis
Consent, legitimate interest, contract, and legal obligation.
6. How We Store and Protect It
We store your information in secure systems with access controls: our production database (Neon Postgres), our application services (Google Cloud Run), our email and invoicing systems (Zoho), and our messaging channels (Meta, TikTok, Google). We apply encryption in transit, access controls, per-client data isolation, lifecycle and retention rules, and no hard deletion.
7. Retention
We retain your information for one month after our last follow-up attempt. If we do not contact you, we delete it after 12 months from the date you provided it. This applies to all lead information, regardless of the channel you used. Where LeadWise AI processes leads on behalf of a paying client, retention is governed by the client's Service Level Agreement and Data Processing Agreement.
8. Sharing and Cross-Border Transfers
We may share your information with service providers who help us operate the platform, professional advisers where required, and regulators or authorities where required by law. Where data is transferred outside South Africa, we ensure appropriate safeguards are in place consistent with POPIA. We do not sell your information.
9. Your Rights
Under POPIA you have the right to access, correct, delete, object, withdraw consent, and complain to the Information Regulator. Contact us at [email protected]. We respond within a reasonable time and in line with POPIA requirements.
